Position Overview

Legg Mason is seeking an enthusiastic and driven Facilities Assistant to look after our London office and team. As the Facilities Assistant, you would be responsible for coordinating the day to day facilities operations in the London office, tending to the needs of staff and our visitors by ensuring the facilities are maintained in the highest standards as well as managing the facilities and supplies budget. 

Key Responsibilities & Duties Include, but not Limited to

 

  • Support implementation of facilities and HSE services to all Legg Mason employees within the London office and across Europe
  • Deliver all health and safety (H&S) training to new staff and ensure existing staff remain updated on procedures
  • Oversee the daily H&S provision for the UK office and any European issues with liaison with the European Facilities Manager
  • Manage office space daily, including space planning moves, office changes, and liasing with contractors on necessary maintenance 
  • Administer all invoice tasks including sign off and any queries
  • Manage the provision of and budget for stationery, daily fruit and drinks, and other day to day supplies
  • Check and identify any faults and upgrades to the office environment and pass to relevant parties to resolve.
  • Manage all internal and external post, externally and between global offices, to ensure sent and received promptly. 
  • Manage the day to day running of photocopiers and shredders to ensure they are in working order
  • Booking and tracking all mainland and international couriers
  • Ensure all security passes handed out are tracked, retrieved, and access is appropriately disabled or terminated
  • Issue and track all UK Sites Eye care & Spectacle Vouchers 
  • Serve as Deputy Fire Marshall and ensure staff are fully trained on fire evacuation procedures
  • Manage office record keeping and archive storage ensuring all documents are stored appropriately according to internal procedures and clients wishes
  • Assist with Reception desk cover when needed

Ideal Qualifications and Experience

  • First Aider at work qualification 
  • Prior experience with fire evacuation training, liaising with landlords and HSE Manager
  • NEBOSH International General Certificate in Occupational Health and Safety or willing to take exams as soon as possible
  • BIFM Member grade or willing to earn as soon as possible
  • Willing to learn and with a desire to progress and gain qualifications in Facilities/Building Management/H&S
  • Strong client service mentality
