Position Overview

Legg Mason is seeking an Administrative Assistant to support senior managers across US Retail Sales.

 

The candidate will be expected to have the ability to multi-task, maintain complex schedules, and provide administrative support across multiple senior leaders while working independently, exercising excellent decision- making skills and escalating matters as appropriate. The ideal candidate for this job is resourceful, a good problem solver, organized, self-motivated and flexible to take on special projects as directed.

Key Responsibilities & Duties Include, but not Limited to

  • Complete a broad variety of administrative tasks for multiple sales leaders including managing an active calendar of appointments, answering phones, completing expense reports, arranging complex and detailed travel plans and agendas.
  • Management of business functions across the Team including distribution list management, new/hires transfer management, meeting call/set-up, and team building activities/events.
  • Coordinate logistics for team meetings including conference room set-ups, technology needs, required materials, associated meals and confirmation of speakers.
  • Implement and monitor projects as directed by management, and see the programs through to completion.
  • Prepare background information, meeting summaries and/or supporting documents in preparation for scheduled appointments, meetings and speaking engagements.
  • Compose and edit business correspondence and presentations.
  • Represents the Team by welcoming and hosting office visitors.
  • Prioritize incoming inquiries and works closely and effectively with Sales Management to keep them well-informed of upcoming commitments and responsibilities, following up appropriately.
  • Serves as effective representative of the Sales Management Team to all internal departments and external contacts by demonstrating professionalism and composure to maintain credibility, trust and support with senior management staff.
  • Prioritize conflicting needs, handle matters expeditiously and proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Coordinate with Office Manager to order team supplies and business cards and ensure new employees have required materials and technology upon arrival.
  • Serve as disaster recovery contact/business continuity contact for team.
  • Maintain files and Outlook contacts with an organized system.
  • Handle other duties as assigned.

Ideal Qualifications and Experience

  • Bachelor's Degree or equivalent experience.
  • 5+ years supporting senior level executives and/or large departments.
  • Superior skills in Microsoft Office 365 (OneNote, OneDrive, Outlook, Word, PowerPoint & Excel).
  • Excellent organizational skills that reflect ability to perform and prioritize multiple tasks with extra attention to detail.
  • Interpersonal skills with proven ability to build relationships with internal and external partners of all levels of seniority.
  • Proven ability to meet deadlines in fast-paced work environment.
  • Polished and professional written and verbal communication skills.
  • Proactive problem-solving and decision-making skills.
  • Sound judgement with ability to handle sensitive information with discretion and escalate appropriately.
  • Displays optimism and composure under pressure with ability to adapt methods to teammates with varying work styles.
  • Resourceful team-player as well as confident independent performer.
  • Demonstrates self-awareness and emotional competence.
  • Forward looking thinker who anticipates outcomes and proposes solutions.
